Staff

Use this table to manage user accounts.

Do not delete users from this table. Any templates or stories created by a now deleted user have no owner, which can cause system instability.

Instead, deactivate a user by unchecking their Active setting.

By default, the staff table is where you manage users. However, if your site has implemented ENPS Active Directory Integration, staff accounts are created, deactivated/moved (in terms of the user's home folder) using Active Directory and it will not be possible to make those changes directly in the Staff table.

This box must be checked for the user to be able to use the ENPS Client.

If a user is no longer working at your site, uncheck this box rather than deleting the user.

Description of the user's department and/or position.

Notes

Notes about this user.

ServerManager

User can add, delete, and edit Read-ins on the server.

SnapFeed

Used for legacy software support.

Physical Location

User's desk location or office number.

Internet Output Accounts

Used for legacy software support.

Blocked Clients

Block user from using a specific type of client.

By default all users can access all ENPS clients.

This functionality has not been fully implemented and my cause unexpected errors.

ImageURL

URL link to a photo of the user.

This appears when messaging other users.

Smartphone Edit

Web Edit

Smartphone TSV

Controls whether users are allowed to use or edit specific mobile applications.

By default, these settings are unchecked meaning that the user's ability to edit will depend on the value of AllowEditing in IIS.

If one of these settings is set to Allow or Deny it will override the AllowEditing setting.

Refer to the ENPS Mobile Administrator's Guide for more information.

Maintain Staff On Server

User can add, remove and edit entries in the Staff table on selected servers without being a Supervisor (see Supervisor setting above).

The user is given access to Staff Maintenance for all Groups on that server.

A user who is not a Supervisor but has been given access to at least one server in the Maintain Staff on Server column will see only the Staff and Staff Privileges tables when they launch System Maintenance. In the Staff Privileges table, they will only see Staff homed to a group on those servers for which they have privileges.

SSO Logins

User email or alternate login to use when accessing ENPS via Single Sign-on (SSO) protocol.

Email

Reserved field not used by ENPS.

Title

Reserved field not used by ENPS.

Copy Staff Profile

The staff table provides an option to create new user accounts based on an existing user's account and profile. This means that if you have a user account that is fully configured in terms of macros, Navbar settings and saved searches, you can use that account as a 'template' on which to base a new user.

This functionality is not available when ENPS/Active Directory integration is in use.

To copy a user profile and use it as a template for a new user:

  1. Click on the user profile row.

  2. Click the Copy Staff... button to open the Copy <ID> popup.

  3. Enter a User ID, Given name and Surname for the new user.

  4. Click OK.

The new user is added to the Staff table with the same settings as the copied profile. Configurations such as macro key assignments, NavBar icons and saved searches are also copied to the new user.

Import from Active Directory

This functionality is not the same as ENPS/Active Directory integration.

To add users from Active Directory to the Staff table:

  1. Click on the Import From Active Directory... button.

    This opens a page that shows all user accounts in Active Directory.

  2. Click an account in the Active Directory Users list and use the arrow button to move the selected account to the Users list.

  3. Click OK.

Changing a User's ID

If a user's legal name changes you can complete the steps in all the following sections to transfer the user's personal folder contents and personal settings to a new account ID.

In Windows

Create a new Windows domain account for the user if it has not already been created.

In System Maintenance

  1. Open the System Maintenance > Staff table.

  2. Create a new Staff profile using the user's new Windows user ID.

  3. Locate the user's old profile in the Staff table and deactivate the profile by unchecking its Active setting.

  4. Click Save.

On the Primary Server

  1. Open the ENPS WORK drive and open the folder with the Primary Server name.

    For example, H:\PRIMARYSERVER

  2. Locate the folder with user's old user ID preceded by U_.

    For example, H:\PRIMARYSERVER\U_JANEHOLT

  3. Rename the folder to reflect the user's new Windows username.

    For example, H:\PRIMARYSERVER\U_JANEJONES

  4. Open the S_SUPPORT folder in the Primary Server folder.

    For example, H:\PRIMARYSERVER\S_SUPPORT

  5. Locate the file with the user's old user ID preceded by U_.

    For example, H:\PRIMARYSERVER\S_SUPPORT\U_JANEHOLT

  6. Rename the file to reflect the user's new Windows username.

    For example, H:\PRIMARYSERVER\S_SUPPORT\U_JANEJONES

The user can now use the ENPS Client with the new Windows username.
